Thailand tax invoices: the checks to complete before claiming input VAT
A document called an invoice is not automatically a valid Thai tax invoice. The document type, issuer, buyer, branch, timing and VAT presentation must support the treatment before it reaches PP30.

The short answer
A VAT-registered supplier generally issues a tax invoice when VAT liability arises. A full tax invoice must contain the statutory particulars in Revenue Code Section 86/4, including clear tax-invoice wording, supplier and customer details, a serial number, description and value, VAT shown separately and the issue date. Additional Revenue Department rules require the buyer's tax ID and the relevant head-office or branch details when the buyer is VAT registered. A retail abbreviated tax invoice serves a different purpose and should not be treated as full input-VAT evidence. Validate the document before posting it, obtain a proper replacement for material errors, reconcile it to the VAT reports and retain the original evidence in a controlled archive.
Four controls protect the VAT trail
- 01Classify the document before deciding whether it can support input VAT.
- 02Match supplier, customer and branch data to the current VAT registrations.
- 03Resolve material errors with the issuer before the PP30 review is closed.
- 04Reconcile invoice, ledger, VAT report and retained original as one evidence chain.
Document map
Full, abbreviated and adjustment documents do different jobs
The label at the top matters, but eligibility also depends on the issuer, transaction and complete particulars.
| Document | What it does | Control point |
|---|---|---|
| Full tax invoice | Supports output VAT and, when all conditions are met, the customer's input-VAT claim. | Check the document against the Thailand VAT guide before it enters the purchase VAT report. |
| Abbreviated tax invoice | A simplified document for qualifying retail sales with VAT included in the displayed price. | For a business purchase, request the full document and keep the exchange trail in the monthly bookkeeping file. |
| Debit or credit note | Adjusts value and VAT after a qualifying change and refers back to the original invoice. | Link the adjustment to the original transaction in the monthly tax close. |
| Official authority receipt | Certain Revenue Department, Customs or Excise receipts are treated as tax invoices for the VAT shown. | Keep the official receipt with the underlying import or remittance pack and review it through the VAT filing service. |

Classify the document before reading the amount
Start with the issuer and document type. A commercial invoice, receipt, pro forma invoice or payment request is not automatically a tax invoice. Confirm that the supplier is the VAT registrant shown on the document and that the transaction is a real purchase for the business. The Revenue Department separately recognizes full tax invoices, abbreviated invoices, debit and credit notes, and certain official receipts.
This classification belongs in the accounts-payable intake, not at the end of the month. Hotels, restaurants and retail teams often receive a mix of receipts and abbreviated documents, so the hospitality accounting workflow should ask at purchase time whether a full tax invoice is needed.
- Confirm the legal supplier and VAT registration shown on the document.
- Identify whether the paper or electronic file is full, abbreviated, adjusted or merely commercial.
- Match the goods or service to a real business transaction and approval.
Section 86/4 sets the core full-invoice checklist
A full tax invoice must prominently identify itself, name and identify the issuing VAT registrant, show the customer's name and address, carry its serial number, describe and value the goods or services, separate the VAT amount and state the issue date. The Code also permits the Director-General to prescribe additional particulars.
Do not validate only the arithmetic. Compare legal names, addresses and tax IDs against master data, confirm the sequence is not a duplicate, and ensure VAT is visibly separated from the value. Under Section 86/4 the prescribed particulars generally use Thai language and Thai currency unless the required approval or specific rule applies.
Buyer tax ID and branch details are not optional master data
Revenue Department Notification No. 199 adds the buyer's tax identification number when the customer is VAT registered. It also requires the relevant establishment status for both sides, using the registered head-office wording or code 00000, or the correct branch number shown in the VAT registration.
A group may have one legal name but several VAT establishments. The purchase order, delivery point, supplier record and invoice should not silently point to different branches. Maintain approved invoice instructions for each entity and branch, then make the requester choose the right profile before ordering.
An abbreviated retail invoice is not the same evidence
Section 86/6 allows qualifying retail businesses to issue abbreviated tax invoices. These show VAT as included in the price and omit some particulars required on a full invoice. The simplified document is useful for retail sales, but input tax evidenced only by an abbreviated invoice is treated as disallowed under the Revenue Department's input-tax rules.
If the purchase is for a VAT-registered company, ask for a full tax invoice while the transaction is easy to identify. The Revenue Department has described a process in which the supplier cancels the abbreviated document and issues a new full invoice rather than merely adding customer details to the old receipt. E-commerce teams should define this route in the online-sales accounting process.
Correct material errors through the issuer
Section 82/5 blocks input tax where no tax invoice can be shown or where material particulars are incorrect or incomplete. The buyer should not rewrite the supplier's original, change a PDF or rely on a chat promise. Put the document on hold, tell the issuer exactly what is wrong, and obtain the correction, cancellation and replacement evidence required for that situation.
Keep both the rejected and accepted versions, the supplier correspondence and the posting decision. A later credit or debit note must refer to the original invoice and explain the adjustment. Repeated defects belong in a vendor issue log and in the accounting health check.
The invoice must reconcile to the VAT month
An accepted invoice still needs to reach the correct VAT report and accounting period. Match document number, date, supplier, taxable value and VAT to the purchase VAT report and ledger, investigate duplicates and credit notes, and document any item held out of the current claim. The PP30 total should be reproducible from the accepted population.
Set the invoice cutoff before the statutory return date in the Thailand tax calendar. The monthly tax filing workflow then has time to resolve exceptions instead of choosing between a late return and unsupported input VAT.
Paper and e-Tax files need controlled custody
Section 87/3 generally requires VAT reports, tax invoices, copies and supporting records to be retained at the prescribed place for at least five years, with longer periods possible in specified cases. A thermal receipt that fades until its details cannot be read can cease to support the claim, so preservation quality matters as much as initial review.
For an e-Tax Invoice or e-Receipt, retain the original electronic data and the verification evidence used by the official system, not just a screenshot or printout.
